Data processing agreement

Facturenscan — versie oktober 2026

This is a simple agreement between you (the customer) and Ramzy Alioui (the provider of Facturenscan). It fits a small sole trader who delivers one fixed scan.

Parties

• You are the controller: you supply the list of outstanding items or paid invoices and decide why those data are used.
• Ramzy Alioui (KvK 75934639) is the processor: he uses that list only to produce the Facturenscan for you.

What is processed

Only the Excel file (or equivalent file) you send for the scan. For outstanding items this usually includes: supplier number, amount, invoice date and due date. For paid invoices also invoice number and payment date. No supplier name, unless you add it yourself. Facturenscan does not ask for IBANs or other account numbers as a rule.

Personal data that happen to be in that file, or that you mention in email or on the request form (name, company name, email address), are included as well.

If you still supply an IBAN or similar payment data, they are used only for your scan, not for other purposes, and deleted within 30 days after delivery — unless you ask otherwise in writing or the law requires longer retention.

What for

Solely to perform and deliver the Facturenscan for you: a clean or marked list, a summary and actions/findings, plus attachments (such as a template letter) that belong to that delivery.

No other purposes. No marketing. No training of my own or anyone else’s models with your list outside this scan.

AI processing

AI may be used in the scan to organise the supplied list, check it and draft proposed actions. That happens only for your scan and under this agreement.

Your list is not resold. Your list is not shared with third parties for advertising or to improve general third-party AI services, insofar as Ramzy controls that.

If an external AI service is needed for a step, that happens only for your scan. Data sent for that step are kept as limited as possible and are not kept longer than needed for that step.

What Ramzy does not do

• He does not sell your data.
• He does not use your list for another customer.
• He does not keep your Excel and the result longer than needed: they are deleted within 30 days after delivery, unless you ask otherwise in writing or the law requires longer retention (such as invoice data).

Security

Ramzy takes appropriate measures for a sole trader: limited access, no public storage of your Excel, and deletion after the retention period above.

Sub-processors

If an external service is needed (for example email, the request form or an AI step), Ramzy remains responsible to you for that step. He chooses services that fit a short, one-off processing for the scan.

Your rights

You can request access, correction or deletion via info@facturenscan.nl. You will receive a reply within one month.

If a data breach affects your data, Ramzy will inform you as soon as is reasonable.

Duration

This agreement applies from the moment you request the scan or send the list, until the scan has been delivered and the retention period has ended, or until you ask for deletion sooner.

Law

Dutch law. Disputes before the competent court in the Netherlands.

By requesting the scan or sending your list, you agree to this data processing agreement, in addition to the privacy statement and the terms.
